Step 1 – Acquire The Freelance Work Order Template
The Freelance Work Order is an obtainable “PDF” or “Word” file. You can gain access to either type by seeking the “PDF” button or “Word” button coupled with the sample preview image or the “Adobe PDF” link and “Microsoft Word (.docx).”
Step 2 – Address The Freelancer Directly
The first text box of this work order is presented in the upper left-hand part of the page and is reserved strictly for the Freelancer’s “Company Name” or official name of operation. Report the “Name” of the Freelancer being addressed on the blank line directly under the text field that was just tended with content. The next few lines seek a report on the Freelancer’s professional mailing address. Divide your entries by inputting the first line of the Freelancer’s address on the “Street Address” line then continue the “City, State, Country” line with the rest of the Freelancer’s address. Conclude the Freelancer’s address by placing the correct “Zip Code” on the next blank line. Next, record the Freelancer’s work “Phone” number and “E-Mail” on the next two lines.
Step 3 – Identify The Freelancer’s Reference For This Paperwork
The Freelancer’s “Work Order #” requires a presentation on the next blank line. Find this line on the left side of the page in the shaded bar. Ideally, this will be the distinct file number or document identification number assigned by the Freelancer for the material production discussed below. Dispense the “Date” when this request becomes active on the empty line across the shaded bar.
Step 4 – Dispense The Freelancer Client Identity
A record of the Freelancer Client is needed to direct any follow-up paperwork (i.e. an invoice) to this work request. The Freelancer “Client Information” section requires the “Name,” “E-Mail” address, and “Phone Number” documented on the first three available lines. In addition, to the Freelancer Client’s identity and immediate contact information, his or her billing address is expected. The “Street Address” line seeks this Party’s building number/street/suite number, while the Freelancer Client’s “City, State, Country,” and “Zip Code” should be furnished to the last two blank lines.
Step 5 – Produce The Scheduled Order Dates
A discussion on when the Freelancer shall commence work or production on the Client’s “Order” is also given a staging area. The “Expected Start Date” line under the section title “Order” requires the first calendar date the Freelancer will work for the Client. Complete this dialogue with the due date for the Client’s project on the “Expected End Date” line.
Step 6 – Define The Freelancer Product Order
The Freelancer merchandise being produced or supplied for the Client’s request will be the topic of the next section (titled “Material”). Some Freelancers may require payment for supplies on service jobs while other Freelancers will specialize in producing final products. Any physical item the Freelancer expects payment for will need to be detailed in the “Description” column at the onset of the “Material” table. The second column requires the “Quantity” of the billable Freelancer products requested by the Client or required for the job presented on the row claimed by that product name or serial number. The “Unit Price” of one of the Freelancer products listed on a row should be placed in the third column. It is time to inform the Client of the full charge of the Freelancer product discussed on each row. For this task, multiply the number or “Quantity” ordered by the “Unit Price” of that item. This result should then be distributed to the “Amount” column. Add all the Freelancer product amounts to a single sum in the “Total Material” field.
Step 7 – Report The Freelancer’s Service Schedule
The Freelancer “Service” must be priced accordingly. The time the Freelancer has scheduled for this project should be listed by date in the “Service” table’s “Description” area. If possible, give further definition by recording the start/end times of that date’s shift or the project tasks set for that day. Document the total number “Hours” the Freelancer will work on the scheduled date in the next column. Deliver a recording of the Freelancer’s hourly pay rate in the “Hourly Rate” column. The “Amount” column (in the table titled “Service”) requests that every row documenting the Freelancer’s “Hours” and “Hourly Rate” display the product of these two values multiplied with each other. This figure is the Freelancer’s pay for the shift on that row. Add the amounts defining the Freelancer’s pay to a single sum then present this as the Freelancer’s “Service” charge in “Total Service.”
Step 8 – Deliver The Freelance Product And Services Total
Now add the “Total Material” to the “Total Service.” This results in the Freelancer’s “Subtotal” for this work request and should be recorded in the appropriately labeled area of the next table. Inform the Client of the “Tax” the Freelancer must collect on behalf of the governing Tax Entity concerned with this transaction. Calculate this sales/service “Tax” as mandated by the concerned jurisdiction then use the “Tax” field to present it. The “Total” box displayed beneath the Freelancer’s “Subtotal” and “Tax” fields requires that these two values be added to each other then entered as the content.
Step 9 – Identify All Content Contributors To This Order
The phrase in the lower-left (“Work Order Completed By” intends to be completed with the name of the Freelancer or Client entering information to the sheet above. If appropriate, this can also be another Party such as an Employee.
Step 10 – Produce More Content Regarding The Commissioned Freelance Work
The blank lines held by the “Comments Or Suggestions” label is available for a direct discussion from either Party regarding the Freelancer’s work or production request above.
Step 11 – Obtain The Signature Of The Freelance Client
The “Client Signature” line in the lower-left area requests the Freelancer Client’s willingness to assume the responsibility of payment for the commission above according to the terms these two Parties have in place.

Step 1 – Issue The Freelance Work Order Template As An Excel Document
The “Excel” button delivered below the sample image allows a direct download of the Freelancer Work Order Template as a “Microsoft Excel (.xlsx)” file. This button and the link above will allow this file to be accessed, worked on, and dispensed using MS Excel.
Step 2 – Introduce The Freelancer Being Commissioned
The Freelancer that is being commissioned for his or her services or products will be the first subject matter dealt with in this spreadsheet. Cell A1, displaying the clipart logo and the words “Add Your Company Logo Here,” must be cleared of its current presentation so that you may insert the Freelancer’s work or professional logo. To properly address this paperwork to the Freelancer, his or her Professional “Company Name” and the “Name” of the Freelancer should be supplied to cells A2 and A3, respectively. Bear in mind that if the Freelancer has an Employee in charge of this paperwork, then this Employee’s “Name” may be the report for cell A3. The Freelancer or the Sole Proprietorship the Freelancer operates under must be able to be contacted by mail and it is customary to make sure the Client has this information readily available, thus a presentation of this material must be furnished to the header. Use the three cells (A4, A5, and A6) displaying mailing address item labels (“Street Address,” “City, State…,” “Zip Code”) to fully list the Freelancer’s mailing address to this document. Proceed to the final two fields (cell A7 and cell A8) then deliver the Freelancer’s current “E-Mail” and “Phone” number information.
Step 3 – Deliver The Freelancer’s Official Filing Information For This Record
An area on the right has been designated with the title “Work Order.” Cell F5, beneath the title, requires the Freelancers filing number for the Customer’s service or production request being documented. An often-used tool to make sure a document remains unique in a system is to “Date” it. The current “Date” is currently featured in cell H5 however, if needed, this “Date” may be edited to any one of your choosing.
Step 4 – Name The Freelancer’s Customer
Now, it is time to turn the focus back to column A. Cell A11, underneath the distinct heading “Client Information,” seeks the full “Name” of the Freelancer’s Customer. This entry must be the Party who shall be responsible for the future billing of this job. The “Client Information” section continues to the next three fields down this column where the “Street Address” label (in cell A12) calls for its information to be transcribed from the first line of the Freelance Customer’s mailing address leaving cells A13 and A14 to be populated with the Freelance Customer’s “City, State, Country” then “Zip Code.” The final two fields (holding the terms “E-Mail” and “Phone”) require the Freelance Customer’s direct contact information dispensed in cell A14 and cell A15.
Step 5 – Reserve The Freelancer’s Time For this Job
The “Order” section found in column G requires only two records. The first entry is to be placed in cell G11 as the Freelancer’s “Expected Start Date” The second entry required by column G’s “Order” section is the freelance project’s termination date. This date should be furnished after the words “Expected End Date.”
Step 6 – Detail The Freelancer’s Billable Merchandise Or Supplies
The physical items that will be billed for the freelance job or contract require a presentation for the Customer’s review. The “Material” table reserves several rows and columns for this report. Begin by describing every physical item the Freelance Customer will have to pay for in column A (under “Description”). Column F shall set the number of items required to fulfill the Client’s order request. This “Quantity” must refer to the freelancer item in column A and dispensed to the same row. The “Unit Price” heading of column G makes its request for the cost of the smallest or lowest sellable number of items that can be sold of the freelancer product listed in column A. Make sure to continue each row to this column since your report here shall result in the display of the “Amount” required for each row’s freelance product.
Step 7 – Furnish The Freelancer Work Schedule
The “Service” table occupying the next area of the sheet centers its discussion on the Freelancer’s payable time. To this end, a detailed account of the scheduled dates and times when the Freelancer’s work is called for in column A under the “Description” heading of this area.
Proceed to the adjacent field of the row where the Freelancer’s scheduled work time was reported. Supply a count of the “Hours” making up the Freelancer’s shift in column F. The Freelancer’s “Hourly Rate” is the next production required by the “Service” column. Furnish the dollar amount the Freelancer will be paid for one hour of work on the project defined on that row. Column H of this table immediately populates upon both numerical entries on a row with the “Amount” the Freelancer will expect for the time spent working.
Step 8 – Dispense The Taxes The Freelancer Must Collect On This Transaction
The next field requiring attention is cell H36 where a submission of the sales/service “Tax” to be charged for the freelance transaction being discussed. Refer to the books defining which transactions require a sales “Tax” and which require a service “Tax.” If the Freelancer’s payment for the proposed job requires a collection of “Tax” from the Customer, then dispense the “Tax” expected in cell H36.
Step 9 – Continue With the Preparer’s Name
The “Individual’s Name” label following the declaration “Work Order Completed By” must be replaced with the full name of every Individual who has processed information onto this sheet.
Step 10 – Offer Additional Information If Needed
The Freelancer (or the Client) may wish more subject matter discussed. If so, use the “Comments Or Suggestions” field in cell A37 to include this content.
Step 11 – Obtain The Formal Authorization OF the Freelancer’s Customer
The production or service required of the Freelancer will require the payment listed above. The Freelance Customer must approve of these charges by signing cell A42’s “Client Signature” line.
