How to Write in PDF and MS Word

Download: Adobe PDF & Microsoft Word (.docx)

1 – Acquire The Paperwork On Displayed On This Page to Invoice Fitness Clients

Two versions of this document can be saved to your machine using the text-links above. It may be opened and downloaded as an “Adobe PDF” file or as a “Microsoft Word” document

2 – Identify The Fitness Instructor

the first items required by this paperwork will serve to identify its Sender to its Recipient. In this case, the Sender is the Fitness Instructor and thus must have his or her Business Name displayed in place of the words “Company Name” at the top of this page.                      In addition to the Fitness Instructor’s “Company Name,” some contact information should be made available. First, we will solidify the information necessary to send a letter or a payment by mail to the Fitness Instructor. To this end use the “Name” line to identify the Fitness Instructor or a Gym Representative authorized to send this on his or her behalf. Naturally, the “Street Address,” “City, State, Country,” and “ZIP Code” where a mail response will be received by the Fitness Instructor reliably.                           Two additional lines will allow you to give the Client alternate means of contact. That is the Client may wish to contact the Fitness Instructor by calling him or her. Thus, display the Fitness Instructor’s telephone number on the “Phone” number.                             Lastly, the Fitness Client may prefer making his or her inquiries by “E-Mail.” The final blank line in this area will accept this material for display once you enter it.

3 – The Invoice Information Needed To File This Document Is Required

The Fitness Instructor’s business header will be separated from the remainder of this document by a dividing shaded bar. You must produce some content for this area. On the first line, input the invoice number set for the session being billed.                            Direct your attention to the right and input the invoice “Date” on the line provided

4 – Bill The Fitness Client

The Fitness Client’s identity and mailing address is the next material required by this invoice for its completion. We will place this content so the Fitness Client will be obligated by the wording making up the next section’s heading. Find the “Bill To” part of this invoice then use the line labeled “Name” to address the Fitness Client directly. Below this, present his or her entire address utilizing the “Street Address” through “ZIP Code” spaces.                                The Fitness Instructor may be charging the Client for sessions, products, consultations, or a combination of these items. Regardless of the exact nature of the charges, a “Description” will have to be documented for a satisfactory review by the Client. The table taking center stage in this invoice will enable a bold and easily seen production reporting on the fitness products, consultation, and/or sessions that need payment.                               The segment of the table named “Amount” will need you to provide several items to see its completion. The first will be the cost of each of the fitness products or fitness services (i.e. consultations, fitness sessions) in the box directly under the column heading “Amount.” You may enter as many items as you like so long as these costs correspond to the item “Description” being priced.                         Now it will be time to produce the sum of the items in the “Subtotal” box.                         After the sum of the base charges has been recorded, report the “Tax” that must be added in the next box down.                       The “Total” that the Fitness Client must pay requires the “Subtotal” value added to the “Tax” value. Calculate this amount then enter it in “Total” accordingly.         Many would consider it a good idea to solidify a specific time when payment should be received. Record the maximum number of “Days” when the fitness payment must be received to be on time using the statement starting with the words “Payment Is…” A blank line has been set to receive this information.

The remainder of this invoice will begin with the words “Comments Or Special Instructions.” You may use the lines in this area to add as much additional content as necessary to satisfy this invoice.

How to Write in MS Excel

Download: Microsoft Excel (.xlsx)

1 – Obtain The Fitness Instructor Invoice

Save the Excel file accessible through the link above to your machine so that you may produce the invoice needed to bill your Fitness Clients.

2 – Properly Invoice The Fitness Client

Now that you have accessed your copy with your spreadsheet program locate the fourth field down in the F column (cell F4). This field must have the text currently in it replaced with the official invoice number the Fitness Instructor set for this transaction. Notice that beside this field, in cell H4, is the current calendar date on your computer’s clock. You may leave this as the invoice “Date” or alter it to a more appropriate one.

3 – Attach The Identity Of The Fitness Instructor To This Document

Column A has been developed with two series of cells. The first will begin in cell A1 and requires the image file necessary to display the Fitness Instructor’s logo. You should upload this file directly to this field then proceed to cell A2 and document the legal name of the Fitness Instructor’s Company to its contents.               The next field down, cell A3, is currently occupied with the bracketed term “[Name].” Delete this label and replace it with the full name of the Fitness Instructor or an Authorized Representative (i.e. a Customer Service Representative or Gym Employee).                         Input the office address of the Fitness Instructor cell by cell. That is, cell A4 is reserved for the Fitness Instructor’s “Street Address” then the “City, State, Country,” and “Zip Code” in cells A5 and A6 respectively.                           Record the Fitness Instructor’s “E-Mail” address in cell A7 then finish this series with the appropriate business telephone number in cell A8.           The next set of labels that must be replaced with information is titled “Bill To” and begins with cell A11. Use this field to document the Fitness Client’s “Name.” Next, the full address where the Fitness Client receives mail is needed. Utilize cells A12, A13, and A14 to produce this address.           This sheet will seek a clear “Description” of the Fitness Client’s order. Use cell A17 to list the Fitness sessions, health products, and/or consultations that paying this bill will cover.                                Cell H17 requires the costs for the fitness items the Client ordered. You may document this as one sum or produce the cost of each item separately.
Now, report the whole sum being charged to the Client as one number (excluding taxes) in cell H18.               If you must charge a “Tax” amount, then list it separately in cell H19.
Finally, the Fitness “Total” that must be paid is required in cell A20.

4 – Finalize This Document With Any Content You Deem Relevant

You may use the deadline stated in cell A21 to give the Fitness Client a limit of “Days” by deleting the hashtag and documenting this number in its place.    The space after the text in cell A22 is reserved for your use. Any material necessary for the Fitness Client’s satisfaction not previously documented may be set to this cell’s contents at your discretion.
