The ‘final notice to pay’ is an invoice that is sent to a debtor as their last chance to pay the outstanding balance before penalties or sending the debt to a collections agency. If the debt is moved to a collections agency, most likely the payment due will appear on the individual’s credit report and hurt their ability to obtain credit in the future. The final notice is usually sent with the last payment period of thirty (30) days before consequences affect the debtor.

1 – Develop And Deliver A Final Notice To Pay To Debtors As A PDF Invoice

When it is time to issue one last notice to a delinquent Client or Debtor, seek out and select either of the text-links above. These will give you the choice of downloading this document in a PDF or Word format (both of which are accessible through the image buttons as well).

 

2 – Provide The Creditor Information

You must identify the entity whose behalf you are sending this document. To this end, locate then type in the sending entity’s legal “Company Name” in the first field. This will be known as the Creditor who is requiring an immediate payment as a result of sending this notice as an invoice.                You must self-report on your credentials as a Representative, Officer, or Owner of the Creditor. Utilize the first blank line on the page being worked on to present your “Name.”             The Creditor’s “Street Address,” “City, State, Country,” and “ZIP Code” must be produced as the mailing address on the next appropriately labeled empty spaces. This will be the address the Debtor will be expected to respond to.       The Creditor’s “Phone” number and current “E-Mail” information are the next two labels calling for information. Submit these items where appropriate.     

 

3 – Identify This Past Due Notice As An Invoice

The full invoice number attached to this notice has a predetermined area where it must be displayed. Locate the blank line labeled “Invoice #” then input this paperwork’s ID number accordingly. This number is considered an important tool for the purpose of tracking this document and any responses it garners from the Debtor receiving it.                             Across the page is another area requiring information. Input the notice “Date” for this invoice where requested on the right.         

 

4 – Officially Invoice The Debtor

If the Creditor sending this notice expects it to positively gain payment from one specific entity, then it should address this entity directly. To this end, fill in the Debtor’s full “Name” in the “Bill To” section. This is the party that is overdue in a past payment and caused the generation of this paperwork.                You must solidify the Debtor’s identity with this party’s mailing address. Supply it as the Debtor’s “Street Address,” his or her “City, State, Country,” and finally the Debtor’s “Zip Code” on the next few lines.                       Now that we have established the Debtor as the intended Recipient of this paperwork, we must present the content that will specify what products, services, loan payments, etc. that have gone unpaid by the Debtor. Supply this content to the “Description” section of the invoice table then, in the column next to it, labeled “Amount,”  display for the base charge(s) owed by the Debtor.   All charges (excluding any taxes) should be added to one total and presented to the Debtor as the “Subtotal.” If, taxes must be paid by the Debtor to this amount, then record the dollar value of the taxes that must be included with this bill in the box below it (labeled “Tax”).                       Both the “Subtotal” and “Tax” must be presented as a sum in the final box of this column (labeled “Total”).        The statement at the end of this table contains the basic wording necessary to obligate the Debtor to submit payment within however many days you present on the blank line following the term “…Is Due Within #”

The blank lines that follow the next label “Comments Or Special Instructions” should be used to deliver any additional information to the Debtor receiving this.

1 – Open The Past Due Notice As An Excel Invoice

2 – Present The Creditor’s Information

The Creditor sending this notice and the Debtor receiving it must both be identified in the first column. Produce the professional page banner or logo the Creditor uses to identify itself to the public in cell A1, then furnish its formal legal identity in cell A2.          Your “Name” will also be a requirement of this spreadsheet. Cell A3 has been reserved for this entry.                                   After your “Name,” submit the Creditor’s mailing address in cells A4, A5, and A6 by replacing the labels currently populating these fields with the “Street Address,” “City, State, Country,” and Creditor’s “Zip Code.”  Finally, the “E-Mail” address, as well as the business line, where the Creditor expects any responses to this paperwork to be received should be submitted in cells A7 and A8                                                             

 

3 – Invoice The Debtor Directly

Before we continue down column A, you must attend to the contents of cell F4 and H4. Here, the invoice number and date must be attached as identifiers for the physical document you are filling out. Populate cell F4 with the filing number you will use for this invoice notice and cell H4 with the “Date” it is applied to the receiving Debtor’s account.                      The Debtor being addressed will now be identified as the Party that must pay this invoice after he or she has received it. Find cell A11 to record the full “Name” of the Debtor and cells A12 through A14 to present his or her address line by line.

 

4 – Summarize The Reason For This Notice And Its Payable Amount

A16 will present two column headings calling for a brief report on what the Debtor is paying for and how much he or she must pay. Cell A17, the first column, needs details that provide an accurate “Description” of what the Debtor owes money to the Creditor for. This may be the result of a contract, agreeing to purchase services/products, or even the details of a personal loan but it must reference material that is understood by the Debtor.      The “Amount” column occupying column H of this invoice will make a few separate requests for information. This will be a production of the money that is overdue. Begin with the base charge(s) of this invoice. Each item you’ve listed as requiring payment must be priced. Enter each price to the “Amount” field (cell H17) accordingly.                                 Below this, show the sum of all the amounts you entered above. Cell H18 is labeled “Subtotal” and has been set here to present this information properly. Keep in mind that if any taxes must be added to this figure, then report the value in cell H19.              H20, labeled “Total,” is the cell we will use to inform the Debtor how much money the Debtor must pay to satisfy the debt owed. This must be the value you placed as the debt’s “Subtotal” plus the taxes owed.                            Cell A21 is a conditional statement that will impose a limited time to pay this bill on time. The number of days you will give the Debtor should substitute the bracketed symbol in this statement.      Cell A22 allows you to include information deemed necessary for the purposes of this invoice.
