Auction Donation Receipt Template

An Auction Donation Receipt Template solidifies that a donation of a physical item has been made to an Entity who will sell it to the highest bidder then keep the proceeds or, in turn, donate the earned funds elsewhere. Naturally, some proof will be required that a successful donation has been made and this will mean that information defining the concerned auction item and both parties is clearly documented along with the monetary value of the donated item.

Step 1 – Acquire The Auction Donation Receipt As A PDF File Or word Document

Step 2 – Name The Entity Donating To The Auction

The “Company Name” field introducing this receipt is the first item that must be tended with direct input. Replace the words in this text box with the Business Name of the Donation Recipient.  The “Street Address” line beneath the textbox along with the line labeled “City, state, Country” to provide the Auction Donee’s mailing address.
The Auctioneer’s mailing address presents a third address line labeled “Zip Code” which requires the appropriate mailing address’s postal code recorded.

 

Step 3 – Assign The Auction Donation’s Filing Information

The auction donation should be assigned with a distinct reference number that shall not repeat itself in the Auctioneer or Auctioneer’s records. A shaded bar containing the line labeled “Receipt #” shall accept this number as its entry. This will aid the Auction Donor in proving his or her donation was completed successfully in any follow-up paperwork involved (i.e. when filing a tax deduction).  The next topic in this segment is labeled with the term “Donation Date” and seeks a record of the month, two-digit calendar day, and year when the auction item being donated was formally received by the Auctioneer. 

 

Step 4 – Identify The Auction Donor

The “Donor Information” portion of this receipt is set to fully document the identity of the Auction Donor. This must be the Party that is submitting the donation to the Auctioneer or Auction Donee. The first line in this section, attached to the label “Name,” requires the Donating Party’s legal identity reported.  Once the Auction Donor’s identity has been documented, the mailing address of this Entity must be dispatched down the next three lines. Each of these lines have been labeled by the information they request. The third address line, “Zip Code,” is reserved for the postal code attached to the Auction Donor’s address. Furnish this “Zip Code” as requested. The final lines in this section expect the “Phone” number maintained by the Auction Donor’s telephone number along with the Donating Party’s “E-Mail” address. 

 

Step 5 – Produce The Auction Donation Description

The donated item must be discussed and valued. The “Description” portion of the receipt table is reserved for a basic report on what was donated for auction. Attempt a complete “Description” since this will aid the Donor’s record-keeping power with this document. 

 

Step 6 – Document The Dollar Value Of The Auction Donation

The adjacent field, “Amount,” is set to display the appraised dollar value of the donated item. Report this as requested.

 

Step 7 – Furnish Any Additional Information Required For This Receipt

The “Notes” lines below the table can be used to continue with any additional comments regarding the donated auction item. You may also use this area to list any attachments that may support the value of the donated item. 

 

Step 8 – Deliver Confirmation Of The Auction Donation

The sentence beginning with the words “The Total Amount Of” must be completed with some details regarding the received items. First place the total dollar value of the donated auction item on the first blank line provided.  The second blank line displayed in this statement requires the full Auction Item Donor’s full name presented as its content. The final blank space in this statement, following the word “On,” expects the date the auction item was donated to the Donee or Auction House.

 

Step 9 – The Donee Must Sign This Receipt To Finalize It

The Issuer of this receipt is usually the Party who has physically received the auction item donation but can be anyone the Receiving Entity has decided may sign such documentation on its behalf. The “Authorized Signature” line will serve as verification that the auction item was donated and received in the manner that is defined on the receipt that has just been completed.

Step 1 – Download The Excel Version f The auction Donation receipt To Your machine

Obtain the Auction Donation Receipt in a spreadsheet format by selecting the “Excel” button then initiating the download. Similarly, the “Microsoft Excel (.xlsx)” link on display above will allow access to the same Excel file.

Step 2 – Record The Identity Of The Auction Item Donee

The spreadsheet you obtained will start with some information requests in the upper left corner. Cell A1, the first cell of the sheet, expects the logo or trademark used by Donee or Donation Recipient to be imported so it may be on display as its content.  Once the Auction House or Donation Recipient’s formal logo has been put on display, attach its “Company Name” to this introduction’s display area by directly typing it in cell A2 over the place holder label “[Company Name].”  Now, report the full address of the Auction House or Donation Recipient using cell A4 (“Street Address”) to present the appropriate building number, street name, and (if needed) the Donation Recipient’s suite number or unit number.  The two fields that follow request the completion of the concerned mailing address through your entries for the “City, State, Country” then “Zip Code.” Satisfy cell A5 and A6 with this information. 

 

Step 3 – Produce The Material needed To Reference The Auction Donation

The receipt number that will be assigned to the received donation item is the next topic to be addressed. Cell F3 requires this number so the Item Donor will have an easy and provable reference for the received donation in his or her records and should any outside entities require such proof (i.e. Employer, I.R.S., etc.).  “Date” this receipt in cell H3 by replacing the pound sign it displays with the exact “Date” the Donor should be credited with a successful donation. 

 

Step 4 – Present The Appropriate Information To Contact The Donor

As mentioned earlier, this receipt’s intent is to attach a successful auction house donation to the appropriate Donor. Therefore, the “Donor Information” will seek a production of details defining this Party beginning with the Auction Item Donor’s “Name” in cell A9.  Cell A10 and cell A11 in this portion of the “Donor Information” section with the mailing address maintained by the Auction Item Donor then cell A12 with “Zip Code” that aids the postal service in directing mail to this address.  Some additional contact information regarding the Donor should be included with the address above, use cell A13 to present the Auction Item Donor’s current “E-Mail” address and cell A14 to attach the “Phone” number that should be used to contact the Donor. 

 

Step 5 – Furnish A Discussion Describing The Donated Auction Items

The next section of this receipt focuses on the auction item the Donor has contributed to the Issuer of this receipt. Give an adequate “Description” of what was donated and received in the first text box of the receipt table at the center of this document. This should be the official product name of the item along with any details relevant to its definition. 

 

Step 6 – Document The Official Value Of The Donation To The Auction

The dollar value that donated auction item is worth will need to be entered in the second text field of this table (under “Amount”). Generally, most charities or Auction Houses accepting donations will use the top value the donated auction item is worth or a formal appraisal’s estimate. Obtain this dollar “Amount” then report it as requested.

 

Step 7 – Include More Content Concerning The Donated Item As Needed

Below the receipt table on the left is a “Notes” section will accept a free form report on information, details, or attachments that will further explain the auction donation or related to the value of the item. Input any such material in cell A18.

 

Step 8 – Summarize This Receipt Through The Proper Language

The next field that requests attention is cell A20. The sentence here requires a few replacements so its language can be completed and applied to this receipt. The first such replacement involves the second dollar sign visible in this sentence (after the term “…Total Amount Of”). Delete this bracketed symbol then enter the dollar value of the auction item donation. The “Name” of the Auction Donor is also a necessity for this statement. Furnish it as a substitution for the bracketed word “Name” following the phrase “…Was Donated By.” Finalize this declarative statement with the month, day, and year the donated auction item was formally received by the Party issuing this paperwork.

 

Step 9 – Obtain The Auction Donee’s Executing Signature

The Auction House Employee or the Person authorized to verify the donated auction item’s submission must sign the “Authorized signature” line presented in cell A25.
