Clothing (Thrift) Store Donation Receipt Template

The Clothing (Thrift) Store Donation Receipt Template is a record of the contribution made by a Clothes Donor to a Thrift Store. The value of the clothes along with the type and quantity are all details that must be assigned to the Donor’s contribution. Additionally, the identity of both the Clothes Donor and the concerned Thrift Store must be documented for this receipt to fulfill its purpose. This template sets several areas of entries where all such information may put on display for the Client’s record keeping and ability to prove the donation occurred.

Step 1 – Download The Clothing Donation Receipt In One Of The Available Formats

Make your selection from the text links above or from the “PDF” and “Word” buttons near the sample image then store a copy in a folder that is easy to access on your system.

Step 2 – Introduce The Thrift Clothing Store Issuing This Receipt

The first field, “Clothing (Thrift) Store Name,” should be populated with the Thrift Store’s legal name. Make sure to include any required status abbreviations such as “corp.” or “inc.” if they are part of this Entity’s legal name.  Next, the block of labeled spaces occupying the top left of this page must be filled out with information relating to the Thrift Clothing Store issuing this receipt. The space labeled “Street Address” and the one labeled “City, State, Country” are set here to receive these entries. Provide them then complete the Thrift Store’s address with its “Zip Code” on the labeled space that follows. Some additional means of contacting the Thrift Clothing Store should be on display here. The blank line labeled “Website” is reserved for the Clothing Thrift Store’s web page or home page’s address while the space attached to the “Phone” label should contain the Clothing Thrift Store’s Customer or Business line. 

 

Step 3 – Inform The Clothing Donor Of The Contribution’s Reference Material

After producing the Thrift Closing Store’s details, some definitions should be made and attached to this receipt. The first of these required items is the “Receipt #.” Locate the label for this space in the partially shaded bar then supply the filing number assigned by the Thrift Clothing Store to this receipt.  The Thrift Clothing Store must name the “Donation Date” when the clothes were received on the blank line labeled “Donation Date” near the upper right half of the receipt. 

 

Step 4 – Name The Clothing Donor

The “Donor Information” section tile also presents an area of labeled spaces. This section refers to the Clothing Donor who has submitted the donated items to the Thrift Clothing Store. Produce the Clothing Donor’s “Name” on the first labeled space here.  Continue with spaces labeled “Street Address” through “Zip Code.” Use this area to present the Clothing Donor’s mailing address. The telephone number of the Clothing Donor must be furnished to the next space down (bearing the “Phone” label) while his or her “E-Mail” address will be the final entry required for this section.

 

Step 5 – Identify The Clothes Received By The Thrift Clothing Store

The clothes that were donated to the store should be listed in a way that is easy to review. Therefore, list each one on a row in the “Description Of Clothing Donation” column in the receipt table provided. In addition to naming the donated clothing, record how many items were donated in the “Quantity” column. So that if two shirts were donated the word, then the number “2” should be recorded on the same row you listed the shirts.

 

Step 6 – Report The Value Of The Clothing Donated To The Store

The “Value” of the clothing should be estimated to your best guess. Generally, this will be left up to a reference set in place by the Thrift Clothing Store, however, if no such document exists, then guess the value based on the original price, how long the Donor has owned it, and how worn in it looks. Enter this “Value” in dollars using the last column. 

 

Step 7 – Include Any Additional Clothing Care or Customer Information 

The “Notes” portion of this receipt will accept any additional comments regarding the clothing or its value. If no other information is needed, the blank lines attached to this label may be left unattended.

 

Step 8 – Close This Receipt With The Appropriate Language

The statement near the bottom of this receipt should be used to summarize the clothing donation. Three spaces in the language it presents will require entry. First, locate the space just before the term “Was Donated By” then furnish the dollar value of the clothes that were donated to the Clothing Thrift Store.  Next, fill in the Clothing Donor’s full name on the second blank space. Complete this statement by furnishing the calendar date when this clothing contribution was received on the final blank line.

 

Step 9 – Produce Witness Verification Of The Received Clothing

The Issuer of this receipt must verify the received clothing, make sure the information entered is accurate, then produce his or her signature on the “Authorized Signature” line.

Step 1 – Obtain The Clothing Donation Receipt As An Excel Document

Save the spreadsheet version of the “Clothing Donation Receipt” by selecting the “Microsoft Excel (.xlsx)” text link (or “Excel” button) to access the file location then save it to your system.

Step 2 – Identify The Thrift Clothing Store Verifying The Clothing Donation

This spreadsheet will seek several items of information to identify The Clothing Store receiving the donation at the top of the page. The label “Add Your Clothing Store Logo Here” in cell A1 should be replaced with the illustration the Thrift Clothing Store presents itself to the public with.  The second field down (cell A2) requires the name of the Thrift Clothing Store produced as a replacement for its label content (“Clothing (Thrift) Store Name”).  Cell A3 seeks the Thrift Clothing Store’s “Street Address” as an entry while the second Thrift Clothing Store’s address should be produced in cell A4 (“City, State, Country”). Cell A5 is set to receive the remainder of the address by requesting the Clothing Thrift Store’s “Zip Code” be recorded. This sheet’s next requested item is the Thrift Clothing Store’s “Website” address. Produce this address in cell A6.

Finally, input the Thrift Clothing Store’s telephone number in cell A7 (“Phone”).

 

Step 3 – Produce A Record Of The Clothing Donation Reference Information

The Clothing Thrift Store’s formal “Receipt #” for the clothing donation is the next concern. Generate this number in cell F3 as this is standard filing information that most (if not all) Donors will expect to have for their records. Next, locate the adjacent field, cell H3, where the receipt’s official “Date” must be reported.

 

Step 4 – Attach The Clothing Donor To This Paperwork

The Donor of the clothing will need to have his or her “Name” on this document as the individual who has contributed the clothes. Cell 10 should have the Donor’s “Name” input to facilitate his or her efforts in proving this donation in the future.   Cells A11, A12, and A13 are the next areas where the “Donor Information” is required. These fields are reserved for the Thrift Clothing Store’s mailing address. Each of these fields will await specific address items therefore, input the “Street Address,” “City, State, Country,” and the Thrift Clothing Donor’s “Zip Code” in the fields where they are requested by label.  The “E-mail Address” and telephone number maintained by the Clothing Donor should be produced in cell A14 and A15, respectively.

 

Step 5 – Account For The Donated Clothing

Our next responsibility is to discuss the clothing received by the Thrift Store. A basic table composed of three columns shall address this need nicely. Column A will be the first portion of the table we will deal with and requires a list of the clothes that were donated.  Column F, or “Quantity,” requires the number of clothing articles donated. Every row containing a clothing item in the first column must be further identified by the number of each article donated.  

 

Step 6 – Assign A Donation Amount To The Clothing

The “Value” section of the table in column H seeks a report on how much money the clothes reported on each row is worth. Furnish this dollar amount as requested.  

 

Step 7 – Deliver Additional Information To This Receipt

The “Notes” section in cell A19 should be used to produce a material specific to this Donor or the contributed clothing. The space after this label (“Notes”) is held for any such additional information to be entered however, if none is required, you may leave this cell unedited. 

 

Step 8 – Complete The Acknowledgement Statement’s Language

The sentence placed in the next field (cell H30) contains a few sections that must be removed then replaced with some of the details we have just listed. First, locate the words “…Of Donated Clothing” then fill in the dollar value assigned to the contribution(s) made.    The second portion of cell A30’s statement requires the “Name” of the Clothing Donor. Replace the brackets and the word “Name” with this individual’s first, middle, and last name. Finally, report the exact clothing donation “Date” in place of the bracketed “Date” label in this statement.

Step 9 – A Valid Signature To Verify The Clothing Donation Is Required

The blank line in cell A32 requires the “Authorized” Signature” needed to effect this receipt. Therefore, this receipt must be printed then signed.
