A car dealership receipt is given to the buyer of a vehicle after the sale is complete. The receipt, along with a bill of sale, allows the buyer to register the vehicle at the local DMV office in their State. Complete this template by recording the material that is requested by the labels or place holders presented. Several sections will divide this paperwork by topic and represent the minimum reporting requirements that must be satisfied when verifying that payment for a car has been successfully delivered from the Buyer.

Step 1 – Acquire The Car Dealership Receipt Template
The Car Dealership Receipt Template is presented on this page as a “PDF” and “Word” file formatted document. Notice that beneath the sample image are two buttons with these labels and a few lines above this statement the links “Adobe PDF” and “Microsoft Word (.docx)” have been made available. These page items will enable a download of the receipt in the sample image.
Step 2 – Introduce The Car Dealership That Has Secured Payment
The Car Dealership that generates this receipt is expected to identify itself as the Issuer by presenting its Business Identity to a standard header area. Before the process of presenting its contact details begins, locate then replace the “Company Name” wording in the first text box with the Car Dealership’s formal Business Name. Now, enter the “Name” of the Car Dealer or Sales Person handling the receipt of the car payment on the first empty line in the upper left of the receipt.
Continue producing entries by dispensing the Car Dealership’s “Street Address” (building/street/Box Number), its “City, State,” and “Country,” and, lastly, its “Zip Code” to the next three blank lines.
The “Phone” number and the “E-Mail” address the Car Dealership monitors for correspondence with Customers should be furnished to the appropriately labeled areas just below the address you recorded. Confirm this is up-to-date information before proceeding since any future inquiries regarding the car purchase or this receipt will likely be channeled through these contact methods.
Step 3 – Furnish The Car Payment’s Formal Payment Reference
The payment the Car Dealership received will have to be assigned a basic I.D. number then attached to this receipt as such. This “Receipt #” is expected as the first entry in the next area. Find the blank line (“Receipt #”) then produce the transaction I.D. number that identifies this paperwork as a receipt in the Car Dealership’s records or files. The “Date” line placed to the right of the receipt number will pair a definitive month, day, and year that the Car Dealership received its payment with the receipt number. Formally declare this purchase “Date” on the properly labeled line on the right.
Step 4 – Name The Car Buyer
The Car Buyer must be given credit for the delivered payment. Look for the “Customer/Client Information” heading to begin this task. Several empty lines are on display to receive information according to the labels attached to them. Each of these must define the Car Buyer beginning his or her “Name.” Distribute the Car Buyer’s full “Name” on the first line, then his or her complete mailing address as three entries down the column by distributing the Car Buyer’s building/house number, street, and box number on the “Street Address” line then the expected “City, State, Country” and “Zip Code” on the two lines that follow. In addition to the Car Buyer’s business or mailing address, his or her immediate contact information should be included in the “Customer/Client Information” section. Two labeled lines in this area are set for this material to be delivered as the Car Buyer’s “Phone” number and “E-Mail” address.
Step 5 – Give A Description Of The Car
One more process of identification must occur before discussing the paid transaction. In addition to the Car Dealership and the Car Buyer, the purchased car must be listed. The “Vehicle Information” section of this receipt enables such a requirement to be completed quickly. Begin by listing the Car’s manufacturing year, its condition, make, model, and its color on the blank lines corresponding to the labels “Year And Condition,” “Make,” “Model And Color.”
Next, an inspection of the car’s paperwork or the car should be performed so that you can transcribe the plate number, vehicle identification number, and odometer reading of the car to the lines labeled “License No.,” “VIN,” and “Odometer Reading.”
Step 6 – Specify The Costs Contributing To The Car’s Purchase Price
The receipt table on this page has been included to receive more details on the car and a list of all purchased items (in addition to the vehicle) in the “Description” box of this table. The base charge of every purchased item that was defined in the first text box of the table should be produced in the “Amount” text-box. How the prices associated with the listed purchased items are listed are at the discretion of the Car Dealership. Thus, these dollar amounts may be produced as an itemized record or a sum.
The “Subtotal” text box also requests the car purchase amounts above but will not allow any itemization. The price of all the items in the “Description” must be entered as one sum in the “Subtotal” text box on this table.
The “Discount” text box presented in the “Amount” column only needs to be filled out if the Car Dealership deducted any amount of money from the car purchase’s “Subtotal” as a consideration to the Buyer. Enter any such deduction in the “Discount” text-box.
The “TAX/VAT” text box that follows can also be mandatory. In fact, many jurisdictions will require a sale’s tax and some specialty or heavily customized vehicles may require a value-added tax. If any part of the Buyer’s payment was a required tax the Car Dealership was required to collect at the purchase point, then it must be defined as a dollar amount in the “TAX/VAT” textbox.
The “Total” text box, as the name implies, should be the full payment requirements set by the Car Dealer for the purchase. Upon review, the amount entered in the “Total” text box should be easily explained as the discounted “Subtotal” amount of the car plus the “Tax/VAT” that was required by the jurisdiction governing the Car Dealership’s business.
Step 7 – Present Additional Car Purchase Comments As Needed
Additional paperwork or comments relating to the car purchase may be needed with the receipt to complete this record. If so, use the “Notes” section for this materials presentation or call attention to such attachments. The blank lines after the word “Notes” should be used for this purpose or may be left blank.
Step 8 – State The Car Buyer Purchase Action In Writing
The information above, while a complete record in most cases, should be stated in writing as well. This will require only three entries since this is only a basic confirmation of the car’s purchase. The blank line found after the language “The Total Amount Of $” requires the exact car payment supplied by the Buyer displayed. A second blank line has been placed so that the paying Car Buyer can be named as the originator of the payment. Supply his or her name where requested.
Complete the car purchase declaration for this receipt by recording day payment was received in a standard month, day, year format on the last empty line of the concerned declaration.
Step 9 – Identify How The Car Was Paid For
A final section has been supplied to the benefit of all involved as well as any Third Party Institutions delivering the Car Buyer’s payment (i.e. a bank). Select the way the Car Buyer bought the vehicle (through the actions in the declaration statement) from a multiple-choice area containing a few payment methods to choose from. For instance, choose the “Credit Card No.” checkbox and give an account of the credit card number used if this was how the Car Buyer purchased the vehicle. If a physical check was used, then mark the box attached to “Check No.” If you must choose this as the payment description for the car purchase, then make sure to deliver the check number that was used as this is a matter of good record keeping.
Another physical payment option is “Cash.” A checkbox with this label is included in this multiple-choice area in case this is how the Car Buyer completed the sale.
The “Other” checkbox is also an available choice. Choose this option, if the Car Buyer’s delivery of payment was none of the above and must be defined directly. A blank line after the word “Other” will expect this report.
Step 9 – Secure The Car Buyer’s Signed Approval
This paperwork will require Customer approval for the payment. This is often the case with large purchases, especially cars. Thus, both the Car Dealership and the Car Buyer should review the above material. If accurate, the Car Buyer must be informed of his or her obligation to sign the “Customer’s Authorized Signature” line. Once this execution is completed the Car Dealership should retain the original and distribute a copy to the Car Buyer.

Download; Microsoft Excel (.xlsx)
Step 1 – Obtain The Car Dealership Receipt Template In The Excel Format
Review the preview image on this page. Once you are ready to save the template as a spreadsheet, use your mouse to choose either the “Microsoft Excel (.xlsx)” link or the “Excel” button that has been included on this page. Selecting either item will prompt the download to begin.
Step 2 – Identify The Car Dealership Receiving Payment
The Car Dealership in this receipt should present itself as the Issuer at the start. This is easily accomplished by located cells A1 and A2 then replacing the bracketed labels in these areas with the “Company Logo” image file and entry of the complete “Company Name” of the Car Dealership. Display the Car Dealer’s “Name” or that of the Sales Representative taking care of this transaction in cell A3.
The address where the Car Dealership receives business mail must be entered to the top of column A as well as these names. Cell A4 and A5 displaying the “Street Address” and “City, State, Country” text labels require this address entered.
The “Zip Code” associated with the Car Dealership’s business address in cell A6.
Deliver the Car Dealership’s current “E-Mail” address in cell A7.
Dispense the Car Dealership’s business telephone number next. Record it in cell A8 along with any extension that is needed to contact a Car Dealership Representative regarding this receipt. Preferably this will be the same Sales Person handling the transaction.
Step 3 – Name This Receipt As The Car Dealership’s Record
An important means of identifying purchasing paperwork is through the determination and assignment of a distinct document number. Recording the physical receipt of payment also requires such an attribute thus, enter the “Receipt #” for the car payment in cell F3. Complete the header with the month, day, and the year that the Car Dealership received the payment currently being verified. Cell H3 is ready to accept this documentation for display.
Step 4 – Produce An Account Of The Car Buyer’s Identity
Notice that two columns have been set to identify both the Car Buyer and the car being purchased. Column A, presenting the “Customer/Client Information” heading to introduce the first of these sections seeks the complete “Name” and mailing address of the Car Buyer entered to cell A11 (“Name”) then cells A12 (“Street Address”) and A13 (“City, State, Country”). Document the postal code attached to the above Car Buyer’s mailing address in cell A14.
Include the Car Buyer’s current email and telephone information by reporting the appropriate “E-Mail” in cell A15 and the proper “Phone” number to reach this Party when needed in cells A15 and A16.
Step 5 – Furnish The Purchased Car’s Details
The next column requiring attention is column F. Here, the “Vehicle Information” section introduces the area where material that can separate the car from other vehicles the Car Dealership sells should be produced. Start with the “Year And Condition” of the car by documenting this information in cell F11. Cells A12 and A13 will work together by requesting an entry defining the car’s “Make,” “Model And Color.” Satisfy these labels with material relating to the purchased car.
Many Car Dealerships will aid in setting up the vehicle for the road. If the vehicle has a license plate, then report it in cell A14.
Now, locate the car. Copy its vehicle identification number (or “VIN”) and “Odometer Reading” and record them in cell A15 and A16.
Step 6 – Describe The Car Purchase
Notice the next section is composed of a table. Here, the payment that was submitted by the Party defined in the “Customer/Client Information” section to the Issuer listed in the header for the car discussed in the “Vehicle Information” section will be discussed. The first field or cell of this table, labeled “Description” in cell A19 should be populated with items such as the car sales agreement title/contract number and execution date and any billable amenities not considered part of the standard base cost.
Step 7 – Furnish Some Documentation For The Amounts Charged
Naturally, a report on the figures that make up the requested “Total” for the car will be considered imperative to the function of this receipt. Find cell H19, then price the car transaction details that were described by entering the appropriate dollar values. The car’s “Subtotal” field in cell H20 will accept only one numerical entry. Combine all car purchase amounts listed in the previous field by adding them together. This sum is the car purchase’s “Subtotal” and is expected in cell H20.
A price deduction applied before or during the point of purchase from the “Subtotal” to the benefit of the Car Buyer should be documented. Cell H21, or “Discount,” is set directly below the “Subtotal” to display this value.
Most states will require a Car Dealership to charge and collect a certain amount of money based on the car purchase’s “Subtotal.” If this payment was subjected to such regulations, then report the value of the applicable taxes to the field “TAX/VAT” in cell H22.
The payment that was required for the car purchase to complete should be recorded in cell H23 as the “Subtotal” plus the required “TAX/VAT.” It should be noted that if any discounts were given, then the car purchase’s “Subtotal” must be discounted before taxes are added.
Step 8 – Satisfy The Delivery Of A Payment Declaration Statement
Cell A24 displays a sentence that requires some specific facts supplied to it. Once you complete this statement with specifics, it will act as a written confirmation of the Car Buyer’s payment. The first task required will be to seek out the symbols “([$])” after the dollar sign, delete it, then record the Car Buyer’s payment amount. The second task this statement presents is a call for the replacement of “[Name]” with the complete name of the Car Buyer as it was reported earlier.
One final requirement must be satisfied in cell A24 to apply. Report the Car Buyer’s payment “[Date]” as a replacement for the final label in this sentence.
Step 9 – Further Document The Car Buyer’s Payment
The way the Car Buyer paid is considered an important discussion. Cell A26 labeled with the words “Payment Method” calls attention to four checkbox items defining various payment options. One or more of which must be selected and completed (as required) to report how the Car Buyer paid the above amount. In an example where the Car Buyer is a credit card user, the checkbox in cell A27 must be selected or filled in then the “Credit Card No.” (copied from the card face) must be entered after the label. A physical “Cash” payment for the car should be documented by choosing (with your mouse) or filling in (by hand) the checkbox in cell F27.
Another physical method of payment is one made with a paper check. Cell A28 allows this to be documented and requests the appropriate check number furnished after the words “Check No.”
A checkbox allowing for the payment to be described as a direct entry has been provided in cell F28. Labeled “Other,” select this object if a description of the car purchase’s payment must be furnished to this receipt. Use the space provided after the term “Other.”
Step 10 – Obtain The Car Buyer’s Signature
The Car Buyer must authorize the information presented in the sections above (especially that defined by cells A24 and A26). This authorization must be a referenceable one and thus can only be a signature. Request that the Car Buyer signs the line “Customer’s Authorized Signature” located in cell A29.
