Step 1 – Acquire Your PDF Or Word Staffing Agency Invoice From This Site

The invoice on this page can be utilized by Staffing Agencies seeking payment. Download it as a “PDF” or “Word” file through the buttons provided, fill it out, then dispense it to the Client. Click on either of these buttons or the similarly labeled text links in this section.

 

Step 2 – Name The Staffing Agency Behind This Request For Payment

Seek out the “Company Name” textbox at the top left of the page then substitute its current text with the Staffing Agency’s legal name.  There should be a Staffing Employee or Representative that is available for contact regarding this invoice. Record this individual’s “Name” on the first line under the text box. The Staffing Agency’s formal mailing address is the next header section we must address. The line carrying the “Street Address” label will need to be satisfied with the building number, street, and suite or PO Box number of the Staffing Agency. The next blank line down will allow you to continue this mailing address with the Staffing Agency’s “City, State,” and “Country.” Input the postal code assigned to the Staffing Agency’s mailing address on the next line down. The Staffing Agency’s “Phone” number will also have an area of presentation. Use the appropriately labeled line to record all the telephone numbers you wish provided to the Staffing Client. In the same spirit, type in the Staffing Agency’s “E-Mail” address on the last blank line.

 

Step 3 – Filing Information Should Be Attached For This Staffing Contract

The invoice number that was assigned to the staffing agreement or assignment should be as prominently displayed as its name and contact details. The horizontal divider near the top half of the page is an ideal area for this display and expects the “Invoice #” as your first entry to it.    Your second entry to this divider is the invoice’s “Date.” This “Date” is usually the calendar day of this paperwork’s generation or the signature “Date’ of a contract. This “Date” will be taken as the first day the Staffing Agency formally requires payment (by most standards).

 

Step 4 – Identify The Staffing Client

This document must target a specific Staffing Agency Client in its “Bill To” section as an aid to securing payment from the correct entity. Fill in the full “Name” of the Staffing Agency Client where it is requested in this section.       The next three lines following request the Staffing Client’s billing address. Present this address, like the one above, using the three available blank lines (“Street Address” through “ZIP Code”).

 

Step 5 – Discuss The Staffing Contract Or Job

The Staffing Agency’s contract or the details defining the assignment must be addressed in the “Description” box of this paperwork. This textbox is set as a staging area for either the staffing agreement’s details (title and signature date) or the staff members and hours required. 

 

Step 6 – Produce The Pricing Assigned To Staffing Project

The “Amount” being charged for providing the staffing requirements of the Client must be definitively presented. Use The “Amount” box for this purpose. You may list as many owed amounts as appropriate. The next textbox (“Subtotal”) is devoted to the values in “Amount” added to one another. If only one staffing “Amount” was released, then re-enter the same value in “Subtotal.”This table’s next request is for the “Tax” the Staffing Agency is obligated to impose on the Client for the “Subtotal” amount. If no taxes apply to the Staffing Agency services, then you are encouraged to confirm this by entering “0.00.”Finalize the invoice table with the “Total” owed by the Staffing Client. This box must be set with the sum of the “Subtotal” and “Tax” boxes. 

 

Step 7 – The Staffing Total Owed Should Be Delivered With A Deadline

Seek out the words “Payment Is Due In…” The blank presented after this term wishes to display a countdown of “Days” after the invoice the Staffing Client is given to submit payment.

Step 1 – Obtain The Excel Staffing Agency Invoice From This Site

When you are ready to bill a Staffing Agency Client using the “Excel” template on this page, download it by choosing the appropriate button near the image preview or the “Microsoft Excel (.xlsx)” link. provided.

 

Step 2 – Introduce The Staffing Agency With Its Preferred Methods Of Contact

After opening this template with your spreadsheet program, import the logo used by the Staffing Agency when presenting itself. This image should replace the one currently in cell A1.  The “Company Name” the Staffing Agency legally operates under must be recorded in the second cell of this column (cell A2) while the Staffing Agent or Office Employee’s “Name” is an expected item in cell A3. Cell A4 of this column will also focus on the Staffing Agency by requesting its “Street Address” displayed. Enter the building/street/unit number or P.O. Box to this cell as requested. The next cell down, cell A5, is reserved for the continuation of the Staffing Agency’s address. Furnish the “City, State,” and “Country” to its field then finish this address report by producing the appropriate postal code in the next cell down (cell A6). The header of this document wishes to give more convenient methods for contacting the Staffing Agency. Therefore, submit the Staffing Agency’s “E-Mail” and “Phone” number in cells A7 and A8

 

Step 3 – Make Sure The Staffing Client Receives This Document’s Filing Information

The top half of this invoice will continue to make requests with a definitive filing number. Cell F4, properly titled “Invoice #,” requires your entry of the staffing job’s document or invoice number assigned to this paperwork. The “Date” when this invoice first applies to the Staffing Client is defaulted to the present day. This presentation is made in cell H4 but may be changed upon your discretion.

 

Step 4 – Assign The Payer Role Properly

Now that we’ve identified the Staffing Agency, the invoice being sent, and the applicable “Date,” we will need to give a reasonably definitive but concise report on the Client’s identity. Achieve this by producing the Staffing Client “Name” in cell A11.  The Staffing Client’s identity should be supported by the billing address where his or her mail must be received. Cell A12 in this part of column A has been set to receive the “Street Address” of this Client while cell A13 shall accept the “City, State, Country” making up the second address line.  The postal code where the Staffing Client’s billing address is maintained must be included here as well. Report this in cell A14

 

Step 5 – Directly Report On The Staffing Job This Invoice

Our next task is to dispense a “Description” or report detailing the commissioned staffing that must be paid for. There are a variety of items that would constitute a sufficient report here. You can define the staffing job by the contract between the Agency and Client, as the hours the provided Staff has worked or set to work, or by some other means altogether. It is recommended that you make sure a common point of reference between the Staffing Agency, Client, and Job is provided here.

 

Step 6 – Present An Accounting Of The Staffing Costs To The Client

Cell H17 is the display area reserved for the dollar “Amount” owed for the commissioned staffing services. Proceed to The staffing invoice “Subtotal” (cell H18) of this table with either the sum of all previous amounts entered or re-entry of the “Amount” defined in the above field. Some states may require a service “Tax” on some staffing services. Any taxes the Agency must add to this invoice must be input as a separate value in cell H19. Finally, the sum of the staffing job’s “Subtotal” (cell H18) and the taxes you recorded in cell H19should be produced in cell H20. This will be the “Total” owed.

 

Step 7 – Document The Grace Period Applied By The Staffing Agency

The first “Date” this invoice is due has been reported. Now, in cell A21 we will use this calendar day as the start of a countdown (in “Days”) defining when payment becomes late. That is, the last calendar “Date” when a payment received is deemed on time.

 

Step 8 – Utilize The Final Section To Continue With More Topics And Instructions

Cell A22 (containing the label “Comments Or Special Instructions”) allows you to continue with subjects and instructions not previously discussed.
