Of course there will be an opportunity to include subject matter that may be unique to the Client while still maintaining the overall integrity of the template and you may edit it when desired with compatible software. Once you have completed the invoice, take a moment to review the information you entered for accuracy since any misinformation may cause confusion and delay an expected payment.

How to Write in PDF and MS Word

Download: Adobe PDF & Microsoft Word (.docx)

1 – Download The Law Firm Invoice Template To Bill Your Client

This page presents a few buttons that will access the invoice featured in the picture they are presented with. Decide whether you prefer to work with Adobe PDF or Microsoft Word. Select the button linking to the required file (“PDF” or “Word”) then save it to your machine.

2 – Identify The Law Firm

The Law Firm issuing this document must make sure it is clearly identified at the top of this page. A few tasks will require completion for this objective beginning with filling in the “Company Name” text box with the firm’s legal name.

The “Name” of the person effecting this invoice should be placed on the line following the “Name” label.      Use the three address lines that follow to produce the Law Firm’s business address. This address must be where it expects any mailed response to this invoice to arrive.    As a matter of convenience, also present the Law Firm’s telephone number and email address on the next two lines (“Phone” and “E-Mail” respectively).

3 – Produce The Invoice And Client Descriptions Where Requested

The Law Firm will have assigned a specific I.D. number to this invoice. This number will be used to tie all the information concerning the legal job together. The line labeled “Invoice #” is set to accept this information so that the Client may readily recognize it.  After supplying this reference information, turn your attention directly to the right of the page. Here, you must produce the exact “Date” when the Law Firm intends to apply this document to the Client’s account.  The Law Firm Client is the other party we must identify on this invoice and we will make use of the “Bill To” section for this reason. The full “Name” of the entity being billed here is needed on the first blank space in this section. Accompany the Client’s identity with the billing address. Input this information to the “Street Address” line, the “City, State, Country” line, and the line for “Zip Code.”

4 – The Invoice Table Is Set To Define The Legal Services Provided

The “Description” area of the table on this page must be populated with a full definition of the actions spent fulfilling the Law Firm Client’s job requirements.    Record the number of “Hours” that make up the Law Firm’s work time spent on the Client’s assignment.    Utilize the third column as a reporting area for the dollar amount the Law Firm expects for each one of the work “Hours” it spent working.  Multiply the Law Firm’s work “Hours” with its “Hourly Rate.” This is the dollar “Amount” that is required in the last column.      The Law Firm will likely wish for its Client to send a timely payment for this invoice. The “Payment Is Due” sentence will inform the Law Firm’s Client of this expectation. You must enter the longest period of time (as a number of “Days”) the Client’s payment may be mailed and still be on time to the blank line this sentence contains.  More material can be included for the Client’s review of this invoice using the “Comments Or Special Instructions” area near the end of the invoice.

How to Write in MS Excel

Download: Microsoft Excel (.xlsx)

1 – The Excel Version Of The Law Firm Invoice Should Be Downloaded

Locate the “Excel” button above or the “Microsoft Excel (.xlsx)” link above. Select either one of these items with your mouse or by tabbing to it then hitting enter. Save the file upon the prompt from this browser.

2 – Dispense The Law Firm’s Professional Information To The First Cells Of This Sheet

In column A, we will use the first few rows to report the identity of the Law Firm sending this document. Placing this information at the top of the page will ensure this invoice easily recognizable as the Law Firm’s paperwork. Begin with cell A1 by uploading the Law Firm logo. This should be a relatively small image file often used when identifying the Law Firm to the public.

Further identify the Sender by typing in the legal name of the Law Firm in cell A2 and the “Name” of the individual sending this invoice. Ideally, this is the same party the Client will be expected to respond to.    The Law Firm address where the Client should send a response to this invoice or payment is the next piece of information that must be recorded to this area. Cells A3, A4, and A5 will guide this process by acting as containers for labels requesting the information you must enter.     The two cells closing this area, A7 and A8, must contain the “E-Mail” address of the Law Firm and its business “Phone” line.       Before proceeding to the remainder of this worksheet, we must turn our attention to cell F4 where you should enter the Law Firm “Invoice #” for this bill. The invoice “Date” is designated as the calendar day when you work on this sheet, but you can change this at will in cell H4

3 – Specifically Name The Client As Responsible For Payment

The Law Firm’s billable Client should be presented in the next segment of cells making up column A. Type in the “Name” of the Client responsible for payment in cell A11 (directly under the label “Bill To”)          The Client “Street Address,” “City, State, Country” and the Client “Zip Code” are all required displays. Furnish these requested items to cells A12 through A14 accordingly.

4 – Detail The Law Firm’s Billable Hours

The Billed Client will expect a clear report on why this invoice payment is required. Cell A17 will supply ample space for a detail of the project or the “Description” of the work. This information must be presented as accurately as possible so, consult your references before producing it to this section.        The next two columns will act as supports to explain the job’s required payment. The time the Law Firm expects the Client payment to cover should be documented in column F as “Hours.”        The “Hourly Rate” the Law Firm will charge for the time spent must be disclosed in column G so that column H can complete the calculation required to produce the “Amount” owed. Thus, produce the “Hourly Rate” in USD (United States Dollar) in cell G17.    Cell A18 will allow some follow up to the invoice by listing greatest number of days the Law Firm will wait for the Client to pay this invoice. Enter this number just before the word “Days” in this statement.    If additional material from the Firm is required with this paperwork, input it or cite the attached reference material in cell A19.
