If the writer is paid by the hour, the invoice should simply have the number (#) of hours worked followed by the rate ($) per hour.

1 – Download The Freelance Writer Template Require To Issue An Invoice

The “Adobe PDF” button and link on this page will each grant access to the paperwork required to submit an Invoice to your Freelance Writing Client.

2 – The Freelancer’s Information Is Required At The Top Of This Page

If you operate with a Company Name, then the Legal Name of this Company must be made· clear. To this end, locate the field marked with the words “Company Name” and supply this Name. Now, you will need to make sure your information is readily available. Place your “Name,” “Street Address,” “City, State, Country,” and “Zip Code” on the first four appropriately labeled lines. Your “Phone” Number and “E-Mail” Address must also be available to your Client. Place this information on the fifth and sixth lines.

3 – Invoice This Document And Formally Attach The Client

Each bill issued by your Company or Service should be associated with a unique Number compatible with your filing system. Input the “Invoice #” and Invoice “Date” on the next two fields. You should have your Client’s information on this page. Record his or her Billing Information under the bold words “Bill To.” This report should be composed of the Client’s Mail Recipient “Name,” “Street Address,” “City, State, Country,” and the Client’s “Zip Code.”

4 – The Work Done By The Freelancer Should Be Adequately Detailed

A table has been placed beneath the “Bill To” area. Use this table to define the “Hours” you worked, the Name or “Description” of the job you worked on, how much you are charging for each hour of work ($/Hour), and the Dollar “Amount” the Client must pay for the Hours worked. Note: You must multiply the “Hours” of each row with the “$/Hour” to calculate the “Amount” columns.

5 – Document The Total Amount The Client Is Responsible For

In the field labeled “Subtotal,” present the sum reported for each row in “Amount.”The taxes the Client must pay with this Invoice should be recorded in the field labeled “Tax.” To present the “Total” dollar amount, add “Subtotal” and “Tax.” This figure is the “Total” Amount of the Invoice and should be documented in the last field.

6 – Additional Information May Be Included If The Situation Calls For It

Oftentimes, Customers are given a grace period after receiving an Invoice to pay for it. You may report the number of days constituting the grace period you wish to grant your Client on the blank line in the statement near the bottom beginning with “Payment Is Due Within…” In some cases, you may want to make sure your Client is provided some additional instructions. If so, use the last two blank lines to deliver such information.

1 – Save The Spreadsheet Template Used To Bill A Freelancer’s Client

The Excel sheet supplied here presents a well-structured document you can use to bill your Client. Download this file as an Excel document by selecting “MS Excel” above.

2 – Several Cells At The Top Of The Page Call For The Freelancer’s Information

Find the first cell in column A. You may either delete the content of this cell or replace it with the Logo you use to represent your business.  If you operate under a “Company Name,” then enter it in Cell A2. The next few rows in this column are populated with the text “Name,” “City, State, Country,” and “Zip Code.” These cells require the Contact Information you use for your business. Fill in each cell with the information it requests. Your business E-Mail Address and Telephone Number should be furnished to Cell A7 and A8.

3 – The Invoice Number And Client Billing Address Must Both Be Clearly Documented

The pound sign in Cell F4 should be replaced with the Invoice Number you have reserved for this transaction. In addition to the Invoice Number, an Invoice Date must be supplied. Enter the desired Invoice Date in Cell H4. Next, utilize Cells A11, A12, A13, and A14 to furnish the Name and Full Mailing Address of your Client.

4 – A Distinct Set Of Cells Have Been Reserved To Define The Project

Locate the column headings “Description,” “Hours,” “$/Hour,” and “Amount.” Use the cells in these columns to report the Project Number, the hours you worked on that Client Project, and the dollar amount you are charging.

5 – Apply The Correct Tax Amount And Present The Total Amount Due

The cells in “Amount” on each row will display the charges for each job you report, similarly the “Subtotal” and “Total” will display the appropriate sums. You must supply any “Tax” charges the Client must pay in Cell H28 to complete this information.

6 – Freelancer Comments And Instructions May Be Supplied As Required

Cell A30 contains a statement where you may indicate how many days grace period the Client has from the receipt of this Invoice to pay it. Cell A31 provides an area where you may deliver any Comments/Instructions (respectively) aimed at the Client.
