Step 1 – Download The Web Developer Invoice Using This Site
The Web Developer Invoice is an available download using the “Download” links located above this statement or the appropriate buttons under the template’s image. You may work on this template as a “PDF” file or as a “Microsoft Word (.docx)” document depending upon your software environment.
Step 2 – Introduce The Web Developer Seeking Payment
It is imperative that you identify your Business as the Sender of this paperwork. For this, locate the “Company Name” text at the top of this page. Select these words, delete them, then substitute the official name of your Web Development Business in place of the current label. Next, record your full “Name” as the Preparer of this document and the Web Developer Business “Street Address,” “City, State, Country,” and “Zip Code.” The first four lines that follow the “Company Name” should be supplied with this information to present this invoice’s return address. As a courtesy, supply your Client with your current business telephone number on the “Phone” line then your official email address on the “E-Mail” line.
Step 3 – Dispense The Invoice Information For The Website Job
You Client will appreciate the ability to easily reference this document in his or her records, especially if he or she will pay by check. The invoice number this document is filed under will satisfy this need nicely. Input this material (exactly as it appears in your records) on the blank line labeled “Invoice #.” Continue to the right side of the shaded divider housing the invoice number you recorded. The line attached to the phrase “Date” is in reference to the first month, calendar day, and year when you first obligate the Client to pay for the commissioned web development or services. Declare this “Date” as requested.
Step 4 – Identify The Website Client Behind This Job
Your Website Client should be named as the Payer. Locate the billing area of this paperwork (marked by the bold term “Bill To”) where you must present the legal identity of the Paying Client on the line labeled “Name.” Continue past the “Name,” after you have supplied it, to the “Street Address” and “City, State, Country” lines so you may enter the mailing address for the Paying Client. Finally, the “Zip Code” associated with the Paying Client’s address above should be reported on the last available line before the invoice table.
Step 5 – Report On The Commissioned Web Project
Next, use the invoice table to account for the services you provided as a Web Developer. Make sure to list items such as the subject of the development and the dates involved. If the work done was in response to an agreement (i.e. retainer) then dispense the title and signature date of the concerned contract.
Step 6 – Formally Request Payment For The Web Development Project
The second column requiring material bears the title “Amount.” You must produce the asking price for the web development services you listed to the left. You may produce as many values as necessary to bill for these services or you may sum them up to one value. Record this “Amount” as a dollar value.
Add all requested amounts to one sum as the web developer “Subtotal” for the work provided. Generally, many states will not request a sales or service tax on web development services, however, if this does apply or any physical products are being paid for then sales taxes may apply. If so, consult the local tax codes then report the taxes that will be added to the “Subtotal” above in the field attached to the term “Tax.” Your final task for this area will be to sum the “Subtotal” and taxes for the web developer services being billed by adding them together. This is the final “Total” that must be submitted to satisfy the invoice being prepared. It is recommended to take a moment to review your figures before proceeding.
Step 7 – Dispense The Web Development Payment’s Due Date
This invoice has one last topic to cover. The statement “Payment Is Due…” after the invoice table seeks to solidify when an unanswered invoice will first be considered late and subject to action. Report the number of “Days” after the invoice “Date” when this occurs by recording the concerned number on the blank line provided.
Step 8 – Continue With Additional Project Discussions As Needed
In many cases, this will conclude the invoice required to seek payment. You may continue with additional “Comments Or Special Instructions” by producing them for the Client on the blank lines below the deadline statement.

Step 1 – Save The Web Developer Invoice As An Excel Template

Step 2 – Identify The Web Developer As The Invoice Sender Or Payee
Open the spreadsheet template once you are ready to bill your Client. Your first task will be to dispense your Web Development Business Logo as a means of quick identification. Cell A1, currently containing a placeholder image, will receive this your Company logo readily. You may select it then right-click to reach the “Change Picture” dialogue or you may “Insert” the logo using the Excel ribbon. The “Company Name” used by your Web Development Business must be the content of cell A2. Type your “Company Name” in this field. Your “Name” as well as the “Street Address” and “City, State, Country” where you wish any response to this invoice sent should be produced in cell A3, A4, and cell A5, respectively. Record the postal code used for the business address you presented above in cell A6. Complete presenting your Web Development Business information with the “E-Mail” and “Phone” that should be used by your Client when initiating contact to cells A7 and A8.
Step 3 – Present A Method Of Referring To The Website Project And Its Payment
It is also important that your Client be able to refer to this paperwork directly when discussing it or when responding positively (with payment). For this, dispense the “Invoice #” used for this bill in your filing system for easy reference in cell F4. Note, any number (i.e. Customer P.O. Number or Job Number) may be used so long as it remains a unique document number in your filing system. The current “Date” is automatically assigned as the first formal calendar day that payment for the commissioned Web Developer is first due. You may assign a different Invoice “Date” at your discretion by removing the contents of cell H4 and reporting the preferred Invoice “Date.”
Step 4 – Prompt The Website Client To Answer This Invoice
Your Web Developer Client must be a part of column A’s efforts to identify the Parties involved. The Client here is the person or entity that you hold responsible for the amounts you define. Cell A11 acts as a continuation of the billing sections instructional statement (“Bill To”) by requesting you produce the Paying Client’s “Name” to its contents. Use the three fields populated with labels that follow in column A (cell A12, cell A13, cell A15), to properly display the Client’s mailing address with his or her identity.
Step 5 – Define The Web Developer Project Requiring Payment
Continue through this billing area to the invoice table. Its first field of entry is cell A17 and must be used to present the web services the Paying Client agreed to pay for. This may be a design project, a coding project, an SEO project, or simply basic maintenance as required by a retainer or other agreement. Make sure that you supply a “Description” in cell A17 that will match your Paying Client’s records.
Step 6 – Declare The Web Development Costs To The Client
Cell H17 of the current table is set so that you may present the price of the web developing services that you were commissioned to complete. In cases where you are billing for more than one item, you have the option of listing multiple dollar values or adding them then reporting a single value. Below the project’s pricing above, cell H18 (“Subtotal”), seeks the sum of the values you presented as owed amounts. If only you listed just one value to cover your web developer services, then re-enter it as a courtesy in cell H18. It is unlikely that you will need to pay a sales tax (unless you have sold a product) or a service tax however, it is your responsibility to be up to date on all tax regulations that affect your business. If you are required to charge a sales or service “Tax” then report the full amount of taxes to be added to the “Subtotal” by entering this figure in cell H19. Your efforts to complete this table have set up the final “Total” the Paying Client must submit. Add the web developer project “Subtotal” to the value entered as the taxes owed (cell H19). This is your “Total” amount owed. Report it in cell H20.
Step 7 – Dispense A Reasonable Grace Period For Payment
After reviewing your table and this document as a whole, it is recommended you inform your Client how long you will wait (in good faith) for payment. In cell A21, replace the number sign with the number of “Days” (after the Invoice “Date”) that make up this waiting period or grace period. Leave the rest of the wording here intact since this informs your Client that submitting payment after this number of “Days” may result in a late penalty.
Step 8 – Provide Any Due Material To The Client As Needed
The basic information that your Client will expect regarding the amounts owed for the web development project has been supplied. If you have additional “Comments Or Special Instructions” to deliver, then utilize cell A22 to deliver them to your Client.
