Since Talent Scouts operate in many different industries (each with its own expectations), an invoice template with a straightforward presentation will be appreciated by both the Scout issuing it and the Client receiving it. Remember, to gather your references before filling out this paperwork as this will promote a clean invoicing process. You will need to make sure you have items such as the Client’s identity and the nature of the payment required handy for entry.

Step 1 – Save The Talent Scout Invoice

You can use one of the buttons (“PDF” or “Word”) on this page to access the invoice template previewed above them or you can select the link labeled by the file type you wish to acquire from the choices offered in this section.

 

Step 2 – Identify the Talent Scout

The Talent Scout or Scouting Agency’s Business name or “Company Name” is the first invoice item you must provide to this document. A textbox has been reserved strictly for the legal business or professional name. Find it by locating its contents (“Company Name”), then remove and input.      Report the Talent Scout’s “Name” on the first blank line below the box you have tended to. This must be an individual or person’s “Name” and not that of a business entity. The next lines (labeled “Street Address” and “City, State, Country”) intend to continue the header with the Talent Scout or Talent Agency’s address. To present a proper report on this address, input its postal code on the next line (“Zip Code”).  Additionally, you must produce the Talent Scout’s professional “Phone” number and “E-Mail” address. Two lines are available to receive this information.

 

Step 3 – Assign Specific Filing Information To This Document

This document should not be dispensed unless a reliable means is included in its contents. The “Invoice #” line set in the horizontal divider requests that this document’s filing number be used. In some cases, this may be a transaction number or a PO number, but it should always remain unique in your records to serve its function. Report the invoice number on this line.   The next line in this divider bears the label “Date.” This refers to the calendar day when this document is completed or sent and is often considered an important tool in determining an invoice’s payment status.

 

Step 4 – Bill The Production Entity Or Talent Agency Accordingly

Locate the next section (“Bill To”) then assign the Scouting Client’s “Name” as the Party obliged to submit payment by entering his or her “Name” on the first line available.  The complete billing address of the Scouting Client is our next responsibility. This will be a necessary record if this paperwork is to be directed properly. Furnish this item utilizing the “Street Address,” “City, State, Country,” then “Zip Code” lines available here.

Step 5 – Make A Record Of The Talent Scout’s Services

It is mandatory for the goals of this paperwork that we document the recruiting services provided by the Scout so they may be priced accordingly. Since this invoice can be used to request a contract payment, a commission payment, or a Scout’s day rate. As such, the exact reason for requesting payment from the Client will be reported at your discretion. A table in the “Bill To” section is provided underneath the Client’s information. Use the “Description” box supplied here to present your record of the Scout’s services. 

 

Step 6 – Present The Talent Scout’s Fees

The second column in this table allows you to continue through the “Bill To” section with the dollar values contributing to the Talent Scout’s owed payment. First, record the Talent Scout’s base charge(s), with no taxes, in the “Amount” column.   The Talent Scout’s billed amounts must now be combined by adding them to one another in the “Subtotal.” If more than one “Amount” is reported as a charge, then perform this addition. If only one “Amount” is charged, then confirm it in this box. Again, there should be no consideration of taxes made in this box either. The “Tax” expected by the Talent Scout’s locality or state will now be dealt with. The “Tax” box intends to display the dollar amounts being charged as sales and/or service taxes that must be imposed on the “Subtotal” above. Review such tax codes in the Talent Scout’s area then apply them. If more than one tax calculation was required (sales, service, etc.) then add them to one number.    Now, the Talent Scout must have his or her “Total” owed produced. This will be the Scouting “Subtotal” added to the “Tax” you indicated will be applied. Produce the sum of these values in the final box as the funds owed to the Talent Scout for the services provided and the taxes required.     

 

Step 7 – A Submission Of The Talent Scout’s Deadline Should Be Included

The sentence at the bottom left of this document has been set as an undeniable instruction to the Client. The blank line it presents in its contents will need the number of “Days” the Talent Scout has determined appropriate for a timely payment. Record this number following the words “…Due in.”

 

Step 8 – Produce Any Additional Comments From The Scout

The Talent Scout may need to present additional information. For instance, there may be specific payment instructions that should be passed on or a contract that causes a regular payment, retainer payment, or commission payment may need to be named and attached. Use the “Comments And Special Instructions” section for this purpose.

Step 1 – Acquire The Talent Scout Invoice From This Site

A spreadsheet template can be obtained to bill Recruiter or Talent Scout Clients. The “Microsoft Excel (.xlsx)” link in this section will grant you the file needed for this task. Similarly, the button underneath the preview (bearing the “Excel” icon and label) will give you access to the same spreadsheet.

 

Step 2 – Name The Talent Scout Behind This Invoice

Once you have opened the template, select the first cell (A1), then upload the Talent Scout’s logo as its contents.                   The Talent Scout’s Agency or Professional identity must now be produced along with the Scout’s “Name.” Furnish these items to cells A2 and A3 respectively. Delete the current contents (“Company Name” and “Name”) then furnish this information as requested.   Information detailing the mailing address used by the Talent Agency or Scout to receive payment (or professional correspondence) will make up the next three entries. Submit the Talent Scout’s “Street Address” in cell A4.     Cell A5 makes a requirement of the “City, State, and “Country” of the Scout’s mailing address. Now, record the postal code necessary for this mailing address in cell A6.   Complete this area with the Talent Scout’s “E-Mail” address. If a Talent Agency is generating this invoice, a general “E-Mail” address that is diligently maintained by the Agency may be input here as well. The “Phone” number required to reach the Talent Agency or Scout is expected in cell A8.

 

Step 3 – Present the Talent Scout’s Filing Information

After completing the Talent Scout’s introduction, turn your attention to the right. A brief table will wish to present only two entries. The first one is under the “Invoice #” number heading and refers to the Talent Agency or Scout’s document number for this bill. Input this number in cell F4. The “Date” discussed in cell H4 displays as the calendar day set by your computer. If the Scouting services being billed require a different invoice “Date” you may delete this default, then replace it with the desired information.

 

Step 4 – Directly Invoice The Talent Scout’s Client

The Scouting Client will be the first subject of discussion in “Bill To” section. Enter the “Name” of the Scouting Client in cell A12 to assign the responsibility of paying the scouting costs, retainer, or commission listed on this invoice.        Cells A13 through A15 will display some guiding labels. Use these to supply the Scouting Client’s full billing address.    

 

Step 5 – Submit A Report Defining The Scout’s Work

The next area of the “Bill To” section must have some definitions supplied so this paperwork may reach its goal of formally requesting payment from the Client. Report a detail of the Talent Scout’s services by entering the time worked, the service agreement in effect, or commission payment required in cell A17.

 

Step 6 – Report The Funds Owed To The Scout

The next cell to the right (cell H17) seeks the exact “Amount” the Talent Scout expects for the described services or agreement payment. Supply as many dollar values as needed to correspond with the contents you recorded in “Description.”  The next cell down is meant to display the Talent Scout’s owed amounts as one sum. This is referred to as the “Subtotal” (cell H18) because it presents the total owed without any taxes applied being recorded.     Cell H19 will need the precise “Tax” amount that must be added to the above figure. Calculate then apply the scouting taxes in this cell.    The Talent Agency or Scout’s “Total” owed is our final requested value. You must add the scouting “Subtotal” with the reported “Tax” being charged to one “Total” in cell H20. 

 

Step 7 – Produce A Definitive Grace Period For The Scout’s Total

Use the “Payment Is…” statement in cell A21 to apply a deadline to the scouting services payment. Locate the bracketed number sign (“[#]”) then, enter the number of “Days” following this document’s generation that are given to the Client as a consideration or grace to gather and send the owed funds.   

 

Step 8 – Include Additional Information Regarding The Scouting Job

The Talent Scout may wish to continue presenting information on this invoice for the Client, especially if this bill is the result of a contract agreement. For instance, if this is a commission payment then, a copy of the agreement held with the Client should be included. As such cell A22 has been prepared to receive and display additional content.
