A teacher invoice is primarily used by tutors, substitute teachers, language professors, or any other teacher that is not considered an employee. The invoice should primarily be the number (#) of hours multiplied by the hourly rate ($). If there are any supplemental items that are needed in order to teach, such as, books, pencils, or any other products it should be included. Depending on the relationship of the student or school and the teacher, payment may be made at the beginning or at the end of the teaching period.

Teacher Invoices: By Type

How to Make in Adobe PDF and Microsoft Word (.docx)

Download: Adobe PDF, Microsoft Word (.docx)

1 – Select The Adobe PDF Button To Obtain The Teacher Invoice

The Teacher Invoice should be downloaded using the “Adobe PDF” button above.

2 – The Heading Is Reserved For The Teacher Contact Information

The name of the institution or service the Teacher works for (if any) should replace the term “Company Name.” Use your editing program to delete this label and replace it with the name of this institution. Otherwise, delete this term and leave it blank.

Next, place the Full Name of the Teacher (First, Middle, and Last) on the first blank space. Use the blank space labeled “Street Address” to present the Building Number, Street Name, and any applicable Unit Number making up the Institution/Teacher’s Address. Now, continue by inputting the “City, State, Country” of this address on the third blank line. Finally, supply the “Zip Code” of the Institution or Teacher’s Address on the next available space. In addition to the Intuition or the Teacher’s Address, it is generally expected that a Business Number and E-Mail Address be supplied with this Contact information. Supply these items to the blank spaces labeled as “Phone” and “E-Mail.”

3 – Define The Teacher Invoice And Name Its Recipient

The Invoice Number this document is filed under in the Sender’s systems must be supplied to this document. Provide this information on the blank space designated with the label “Invoice #.” Record the Calendar Date when this paperwork goes in effect on the empty space labeled “Date.” The party being billed will have to be included in this document just after the words “Bill To.” Several empty spaces are labeled with the components that make up a Mailing Address. Use this area to present the Full Name and Address of this paperwork’s Recipient. Typically, this is the Client who has commissioned the Teacher and now must pay him or her.

4 – Name The Recipient Of The Teacher Invoice And Detail The Billable Hours

The table at the center of this document is included so that you may cleanly present the Teacher’s billable services. First, you must define what was done during the work shifts. Place this definition in the column titled “Description.” In the second column, titled “Hours,” report how much time (in Hours) the Teacher spent working for the Client. Next, disclose how much money per Hour is being charged to the Client in the “Hourly rate” column. The last column, “Amount,” will call for the number of “Hours” to be multiplied by the “Hourly Rate.” Present this result in the same row. Add each number reported in “Amount” then present the “Total” in the last box.

5 – Additional Terms And Information Should Be Presented To Apply

The bottom of this page will present a couple of options that are usually recommended when applicable. First, solidify a time period when the Client is expected to make an on-time period. Enter the number of days given to the Client to pay the Amount listed just after the words “Payment Is Due Within…” This is sometimes known as a grace period.

There may be some information or instructions that should be delivered to the Client with this Invoice. The blank lines after the term “Comments Or Special Instructions” can be used to document such information.

1 – The Teacher Invoice Template Is An Obtainable Excel File On This Page

Locate then select the button with the label “MS Excel.” Save this file once you have opened and reviewed it to your satisfaction. You can use it in the future at your discretion as a template to send a Teacher Invoice.

2 – Document A Few Items Defining The Sender And The Recipient Of This Invoice

Before we report any items concerning the Recipient, Student, Parent, Institution etc., we should introduce the originator of this paperwork and solidify their role as the Sender. To this end, delete the contents of cells A1 and A2. These two cells have been reserved to present the Institution or Company that has provided service and sending this document to the Recipient by uploading the Company Logo to cell A1 and the presenting the Teacher’s Company Name to cell A2.

The Name of the Teacher who has supplied the services you describe below will also need to be presented at the top of the page. Place his or her Name in cell A3.

The Institution, Teacher, or Company named above should also make sure its Mailing and Contact Information are readily available to the Recipient. Cells A4 through A6 will require the information needed to successfully mail a payment or correspondence to the Institution/Teacher. Present the Teacher’s Business Mailing Address by entering its Building Number/Street Name/Unit Number in cell A4, its City/State/Country in cell A5, and its Zip Code in cell A6. Cell A7 requires a valid and up-to-date Phone Number where the Recipient of this document can call its Sender and cell A8 should display a well-maintained E-Mail Address the Recipient can use when contacting the Sender electronically presented.

Now, we must document the Recipient of this Invoice. This is the party that has received the services being listed and billed here (i.e. Institution), agreed to pay for these services to be delivered (i.e. Parent/Guardian), or both (i.e. College Student). To reach this goal let us look further down column A to the group of cells labeled “Bill To.” Name the intended Recipient of this paperwork in cell A11 then document his or her Billing Address using cells A12, A13, and A14.

3 – Produce The Invoice Details Required By This Paperwork

The top right of this spreadsheet is the first area where some information defining the Teacher Invoice needs to be solidified. Utilize cell F4 (under the label “Invoice #”) to record the Invoice Number attached to the charges you will present below.

On the right of this reference number, use cell H4 to disclose the Calendar Date of this document’s execution.

The table placed at the center of this spreadsheet will contain several cells with formulas to facilitate the completion of this Invoice. You must, however, provide some situation-specific information. Begin by describing the Teacher Services that were provided in column A – titled “Description.”

We must also supply some figures to this table. Locate the column titled “Hours” (column F), then use it to document how many “Hours” the Teacher worked to provide these defined services.

Continue across the row by entering how much Money per Hour the Recipient must pay for the Teacher Services in column G (“Hourly Rate”). The figures you enter in these two columns will act in the formula present in H27 to inform the Recipient how much money is owed.

Cell A28 will request a definitive number of days to define when the Client is required to make an on-time payment. The first day should be the Calendar Date he or she receives this paperwork.

Information or Instructions geared to the Teacher Invoice Recipient may be added in cell A29. Use the space after “Comments Or Special Instructions” to cover any subjects not discussed above.
